Using the Attachment Manager

Manage your files, upload to reports, and more all from one location!

The Attachment Manager in Aliquot is a basic file management system used to manage saved PDFs, images, and more across your site. This article will cover how to upload your files, search for saved documents, and give general best practices for managing your uploaded data.


Accessing the Attachment Manager

Log into Aliquot: Open the Aliquot application in your browser.

  1. Navigate to Reports: Go to the Reports section.

  2. Select “Attachment Manger”: Click on the “Attachment Manager” option

Attachment List Interface:

Following the above steps will open the Attachment List interface. This screen allows you to easily manage attachments on your site from one location.


Folders and Filters

Attachment Folders:

The attachment manager is broken down into five separate folders. Each folder is associated with a layer of your hierarchy.

- Best Practice:

These can be used to associate images with different sections of your customer's business. For example, uploading an image of equipment condition to "System" or adding the PDF of a service agreement to "Customer".

Filtering for Attachments:

To find, edit, and add attachments, you will first need to fill out Aliquot's Hierarchy. Select your desired Client*, Customer, Facility, Building, and System before continuing.

*The "Client" option will only display for Global Users.


Creating and Finding Attachments

Create Attachment:

Attachments created in the manager are tied to the currently selected folder.

To create an attachment you will need to:

  1. Filter to the desired layer of the hierarchy.

  2. Choose the 'Attachment Folder' that you will be uploading to.

  3. Click "Create [Folder] Attachment"

  4. Add a name for the uploaded file (If this is not changed it will automatically enter the name of the uploaded file).

  5. Choose "Upload"

  6. Click "Save Attachment"

​Attachment Information:

Attachments will have their Name, Author, Uploaded Time (Timestamp), and File Size listed as seen below:


Adding Uploaded Attachments to Reports

  1. Create a New Report

    Note:
    Report template with attachment section needed for attachments to be shown on finalized reports.

  2. Scroll to Attachments section

  3. Click "Attach"

  4. Make note of filters

  5. Choose file to attach

  6. Edit name & description
