Group Policies - Field Rep

User Permissions

Updated over a week ago

Being able to efficiently manage different access levels for entire groups of operators and customer users makes life easier. Rather than adjusting for every individual user, you can assign them to a template group with pre-defined permissions and access levels needed for their role.

Your ability as a field rep to edit or view this will be based upon the permissions your admin has given you. Some features may not be accessible with your account.

Accessing User Permission Templates:

To view and manage your group policies:

  1. Log into Aliquot: Open the Aliquot Software Application.

  2. Navigate to Utilities: Go to the Utilities section.

  3. Select Permission Templates: Click on "Permission Templates."

This takes you to the Permissions List screen, which displays created templates tailored to your needs.

Permissions List Interface:

The permission list interface displays all templates along with the following details:

  • The template Name.

  • A short Description of the template.

  • Number of Users assigned this permission scheme.

    • Note: Templates with active users cannot be deleted.

The search bar can be used to find specific permission templates by name.

Creating Permissions:

  • Click Create Permission on the Permissions List screen.

  • This brings up the Create Permission screen

  • There are many options, use the video above or the guide below to set these up.

    • Remember the set-up is for permission templates, not for each user.

    • Set this up for a limited number of groups.

  • This configurator is split into four categories, each with a large range of toggle options.

    • Administration.

    • Miscellaneous.

    • Navigation.

    • Reports.

  • Further down in the article or in the video above you can find our recommendations for Operator User permissions.

Permission Details

  1. Add a name and description for the template you're creating to start.

  2. Use the below guide for toggle options.

Our Recommended Permissions for Operator Users:

Administration

- Operator Users should have Change Password Access turned on in case they ever need or want to change or rest their password.

Miscellaneous

- Alarm History Access should be set to yes.

- Order Request Access can be enabled if you would like Operators to be able to place orders.

Navigation

- Most permissions here should be set to view or no.

- Facility Internal Notes Access is best set to none. This is most used for employees to add private or hidden notes (e.g., gate code, who to speak to on-site, etc.)

- System Attachments can be set to edit or view if users would be inserting images or taking pictures for reports/logs.

Reports

- Most permissions here should be set to view or none.

- Operator Log Access must be set to edit for users to create and edit their logs.
