Understanding Customer and Facility Upload Templates

This guide provides a step-by-step walkthrough for populating the Customer and Facility Upload sheets in Aliquot for accurate data entry.

The Customer and Facility Upload Templates are emailed to you prior to your initial onboarding kickoff call. Filling out these sheets accurately and with consistency is imperative to a smooth onboarding experience. Please use and follow the guidance below to ensure that the information being entered is properly formatted and accurate.


Before You Start:

Have you familiarized yourself with Aliquot's hierarchical structure? If not, please read the following article that gives a brief overview and some examples of the feature. Understanding the hierarchy is exceedingly helpful when filling out your customer and facility information


Understanding the Customer Upload Template

- Fields marked with a red asterisk (⁎), and colored red in the table below are required and must have data entered.

Examples and Formatting

Client Name

The Client Name field is for your organization, or different divisions of your organization. For simplicity, keep in mind that this is "you".

Customer Name

Customer Name is the name of your specific customer.

If your customer was "Hilton Hotels", that would be the customer's name.

Prospect Customer

The Prospect Customer field refers to a customer or entity that is not yet converted to an active customer.

All of your existing and active customers should be listed as FALSE. Unless said customer or entity is not currently being serviced by your organization, in which case it would be set to TRUE.

Address (Street 1)

Enter the physical and primary location of your customer's headquarters or corporate office. Please ensure that this information is up to date before entering.

Best Practice: Double check that the address you enter is visible and navigable on Google Maps as the Maps API is used for these uploads.

Street 3-4

Optionally add any additional street address information to these fields.

Unit

Optionally add the Unit of your customer's address. Typically used if address is part of a complex or office building.

Enter the City of your customer's address.

Zip Code

Add the Zip Code your customer's address is located in.

Cannot be blank to enable the address to pass Google's verification.

Region

Enter the Region/Province/State of your customer's address.

This is optional to account for countries in which a sub-national unit is not required for postal addresses.

Add the country your customer's address is located in

Phone Number + Extension

Add a Phone Number for your customer. Please note that the formatting is important here, ensure that you include the international code.

Fax Number + Extension

If you have a Fax number and extension they can be added here.

Time Zone

Enter the Time Zone your customer is located in.


Understanding Facility Upload Template

Examples and Formatting

Client Name

The Client Name field is for your organization, or different divisions of your organization. For simplicity, keep in mind that this is "you".

Customer Name

Customer Name is the name of your specific customer. On the Facility Upload sheet you will need to designate the Customer which the Facility you're adding is associated with to this field.

If your customer was "Hilton Hotels", that would be the customer's name.

Facility Name

A facility is an individual location of your customers buildings and systems.

If your customer was "Hilton Hotels", the facility could be a specific region like Philidelphia Hilton or NYC Hilton.

Show Country on Report

Consider showing the country on reports for multinational companies.

Address (Street 1)

Enter the physical address of the facility. Please ensure that this information is up to date before entering.

If you do not have a number for a facility, this field can be filled with "(111) 111-1111" as it is a required field

Fax Number + Extension

If you have a Fax number and extension they can be added here.

Time Zone

Enter the Time Zone the facility is located in.

Notes

Add any additional notes for this facility.

Examples: Who to speak to at the facility, a gate code, info for service technicians, etc.


Finalizing Information

  • Once you have entered all information, ensure all details are accurate in the customer and facility upload forms. Double checking these and fixing any potential errors will expedite your upload process.
